2. Data subjects and scope
This notice concerns visitors to Kiinnikepaja’s website, people submitting quotation requests or other enquiries, contacts at the businesses they represent, and people subscribing to product news on the website. It describes personal data processing associated with these activities.
3. Purposes and legal bases
We use information provided in enquiries to respond to quotation requests and maintain customer communications. Processing business contacts’ data is based on our legitimate interest in conducting business communications. Where an individual requests a quotation for their own contract, the basis is taking steps at their request before entering into a contract. Processing newsletter subscriptions for product news and offers is based on the subscriber’s separate consent. Submitting a quotation request does not subscribe you to the newsletter. Optional visitor analytics is based on consent given through cookie preferences and helps us understand website use and improve content. Spam protection for forms is based on our legitimate interest in protecting the website against abuse.
4. Personal data processed
The quotation form processes your name, company, email, selected products and quantities, and any additional information you provide. Name, company and email are required; a telephone number is optional. Other enquiries contain the contact details and message you provide. Newsletter records contain email address, language, subscription status, subscription and confirmation times, and records of consent. Spam protection processes IP addresses and technical browser information. With your consent, analytics processes information about website use and traffic sources. The quote basket and cookie choice stored in your browser are described separately on the Cookies and browser storage page.
5. Your rights
You may request access to your personal data and correction of errors, and, where the legal conditions are met, erasure, restriction of processing and data portability. You may object to processing based on legitimate interests on grounds relating to your particular situation, and to direct marketing at any time. You may withdraw consent without affecting the lawfulness of processing before withdrawal. Send requests to info@kiinnikepaja.fi. Requests must normally be answered within one month; any extension and its reason must be notified within that period. You may lodge a complaint with the Finnish Data Protection Ombudsman: tietosuoja.fi.
6. Sources of data
We receive enquiry and subscription information from you through forms, email, telephone or other direct contact. Use of the website and your browser transmit technical information to the website and its services. Optional analytics is collected with the consent you give through cookie preferences.
7. Recipients
The website quotation form sends your request and contact details to Kiinnikepaja’s sales team at myynti@kiinnikepaja.fi. Newsletter subscriptions are stored in the website’s subscriber register. Cloudflare receives technical verification information for form protection. Optional analytics sends information to Google with your consent. Loading Google web fonts also connects to Google and transmits technical connection information. The roles of these services are described in section 9.
8. Data retention
Quotation requests and related customer correspondence are also retained for future dealings. A single retention period applying to all customers has not been defined. You may ask about retention of your own information and request erasure at info@kiinnikepaja.fi. Unconfirmed newsletter subscriptions are deleted in the next automated cleanup after seven days. Confirmed subscriptions remain until cancelled. Cancel using the cancellation link in your confirmation email or by contacting us. Using the cancellation link removes the subscriber record from the active register. Retention of the browser quote basket and cookie choice is described on the cookies page.
9. Processors and services used
Kiinnikepaja’s sales team handles quotation requests. Microsoft 365 is used for email. Hostingpalvelu hosts the website and its newsletter subscriber register. The website’s email function sends subscription confirmations. Cloudflare Turnstile protects forms against spam and automated abuse. Cloudflare states that it also uses verification information to improve Turnstile as an independent controller. Google Analytics and traffic-source tracking are used with your consent to improve the website. Google Tag Manager loads tracking tags, and Google Fonts supplies web fonts. Links to the providers’ privacy information appear at the end of this notice. LianaMailer (Liana Technologies) has been selected as the newsletter delivery service.
10. Processing outside the EU and EEA
Kiinnikepaja’s own staff process data in Finland. Processing by the international services used is not, however, limited exclusively to Finland. Microsoft’s and Cloudflare’s privacy notices describe processing in the United States and other countries. Hostingpalvelu’s data processing agreement also permits processing outside the EU/EEA and describes contractual safeguards. The providers’ descriptions of international processing and transfer safeguards are available through the links below. These general descriptions do not, on their own, establish the storage location of all Kiinnikepaja data.
11. Automated decision-making and profiling
The quotation form forwards requests to sales; it does not itself determine quotation terms or make contractual decisions about customers. Subscribers confirm their own subscriptions. Form spam protection technically assesses whether a submission is automated and may block it. Consent-based visitor analytics describes website use and traffic sources.
